Ways to search, organize and keep your ChatGPT history
· By Chatelope (Hilo Inc)
ChatGPT history piles up fast, and there are several ways to keep it findable. Some are built into ChatGPT, some give you a copy you control, and some cover other assistants too. Here is what each one does well and where it stops, so you can pick what fits. Chatelope is our product; we’ve tried to describe the other options as their makers do.
Summary
| Option | Cost | What it covers | Keeps a copy you control | Main limitation |
|---|---|---|---|---|
| ChatGPT search | Included | Titles and content of your ChatGPT chats | No | Only ChatGPT, only while you have the account |
| ChatGPT Projects | Included | Groups related ChatGPT chats with shared files and instructions | No | Manual filing, ChatGPT only |
| Archive | Included | Hides chats from the sidebar without deleting them | No | Tidies the sidebar; doesn’t organize |
| Official data export | Free | All your ChatGPT chats as JSON and HTML | Yes | Hard to search; all or nothing |
| Browser extensions | Varies | Extra features on the ChatGPT website | Depends on the extension | Need access to your chats; can break when ChatGPT changes |
| Chatelope | Free; Pro $2.99/month or $19.99/year | ChatGPT, Claude and Gemini history in one library | Yes | Updates when you import a new export, not live |
ChatGPT’s built-in search
Search is in the ChatGPT sidebar on the web (or Ctrl+K / Cmd+K) and in the iOS and Android apps. According to OpenAI it matches keywords in conversation titles and content, works best with exact words, and includes archived chats. Canvas contents are not searchable, and new chats become searchable within minutes.
Good for: finding a recent ChatGPT chat quickly. Limits: it only covers ChatGPT, and only for as long as you can sign in to the account.
ChatGPT Projects
Projects group related chats with their own files and instructions. OpenAI says they’re available on free and paid plans, and you can move an existing chat into a project from its menu or by dragging it. Sharing a project with teammates is limited to Business, Enterprise and Edu.
Good for: ongoing work where the chats share context. Limits: filing is manual, and project names are not included in the data export.
Archiving chats
Archiving removes a chat from the sidebar without deleting it. You can review archived chats under Settings › Data controls › Archived chats, they still show up in search, and they are included in the data export.
The official data export
Settings › Data controls › Export data emails you a ZIP of your whole history: conversations.json, a chat.html page you can open in a browser, and your uploaded and generated files. It is the only complete copy OpenAI gives you, and it’s free.
Limits: it is a snapshot, not a sync. One large HTML page is slow to read and has no search across files, the JSON is meant for software, and Business and Enterprise workspaces have no self-service export.
Browser extensions
Many third-party extensions add features to the ChatGPT website, such as folders, prompt libraries, or saving a single chat as Markdown or PDF. We don’t review specific extensions here. Some general points apply to all of them:
- They need permission to read the pages they run on, which here means your conversations. Check who makes the extension and read its privacy policy.
- They work in desktop browsers, not in the ChatGPT mobile apps.
- They rely on the ChatGPT website’s layout, so an update can break them until the extension is fixed.
- Most only cover ChatGPT.
Chatelope
Chatelope imports the official exports from ChatGPT, Claude and Gemini, or single conversations from public share links, into one library. You can search titles and message text across all of them, organise chats with folders, tags and stars, and see usage analytics. It runs in the browser at chatelope.com and as an Android app. The Free plan covers importing, search, organisation, analytics and exporting your library; Pro ($2.99/month or $19.99/year in the US, local prices vary) adds chatting inside Chatelope with your own OpenAI, Anthropic or Google API keys. It is made by Hilo Inc.
Limits: it is not a live sync, so new chats appear after you import a newer export or a share link. For ChatGPT it imports the branch of each conversation you last viewed, not every edited or regenerated version. There is no iOS app yet.
Which should you use?
- You only use ChatGPT and want to find recent chats: built-in search and Projects are enough.
- You want a copy that survives losing the account: download the official export now and then, whatever else you use.
- You want one extra feature on the ChatGPT website: an extension may do it, after you check its permissions.
- You use several assistants or want your history searchable outside ChatGPT: import your exports into a tool like Chatelope.
